Liaison between the board and the group they are representing (Band, Choir, Drama, Marching Band Guard, Winter Guard and Orchestra).

| SPECIFIC DUTIES |
- Report on all activities of the group being represented
- Member of Volunteer Coordinator’s Calling Committee for your group
- Assist Volunteer Coordinator in search of Calling Committee Head Callers for your group
- Chair or membership in one other board committee
- Represent the interest of parents and their students
- Attend all Full and General Membership meetings

| SPECIFIC DUTIES |

Prior to Meetings:
- Distribute notification of all executive/governing, full, and general board meetings (2 weeks prior)
- Request reports from Executive/governing board members in advance of meetings
- Prepare agenda – working with board president and vice president
- Compile Agenda
- Mail to all members prior to meeting (2 weeks prior):
- Meeting agenda
- Previous meeting minutes and VP reports
During Meetings:
- Record all activity, discussion and motions of the meeting
After Meetings:
- Prepare draft of Executive/governing board meeting for review by president
- Prepare draft of full board meeting for review by vice president
- Prepare meeting final drafts to be distributed to board for review at meeting
- After minutes are board approved, make corrections as necessary
- File final copy of meeting minutes in the Corporate Record Book
Outside of Meetings:
- Keep all official records of the organization
- Keep board and committee lists updated and distribute to the board and staff

| SPECIFIC DUTIES |
- Chair the Finance Committee
- Chair additional committees established under the Treasurer position
- Keep accurate financial records of the organization
- Have custody of all organizational funds
- Assure that all expenditures are appropriate and timely deposits are made
- Present financial statements to the Executive/governing board and report on any unusual or notable activity
- Draft budget with input from staff, finance committee and members of executive/governing board
- Recruit audit committee to conduct an independent review of financial statements
- Assure all appropriate tax and IRS forms are filed by established deadlines
- Collect and distribute money at all major events
- Sign checks submitted for payment from the PA Director
- Reconcile checking/savings accounts statements with computer program maintained by PA director
- Provide monthly reports to the board

- Perform the duties of president/chair in his/her absence
- Assists the president/chair on specified duties as requested
- Chairs the development council
- Serves as president-elect
- Be an active member of the Executive/governing board
- Act as a liaison to the board for all committees, if needed
- Work with the board president to prepare for the General Membership Meetings
- Lead the organization’s efforts to set goals and objectives for the year
- Develops full board meeting agendas with board secretary
- Preside over all full board meetings
- Assures meetings are orderly, fair and expeditious
- Familiar with common meeting procedures and order of business
- Brings bylaws and agenda to each board meeting

- Identify volunteer needs
- Recruit volunteer chairpersons as needed
- Secure adequate staffing for all activities (coordinate the effort)
- Develop orientation procedures for volunteers
- Coordinate the orientation process

- Monitor volunteer and staff satisfaction
- Ensure the volunteer experience is rewarding
- Coordinate the volunteer recognition program
- Maintain volunteer schedules
- Review and update volunteer position descriptions

- Establish committees and/or subcommittees to assist in carrying out all duties and responsibilities of the job
- Coordinate the activities of any committees that have been designated.
- Present all complete chairperson/committee fundraising plans to the board for vote approval.
- Work with all chairpersons/committees to assist them in completing fundraising idea plans
- Recruit any needed volunteer chairpersons
- Work with Performing Arts Director to implement board approved fundraising plans
- Work with PA staff to schedule fundraiser and maintain fundraiser calendar
- Provide monthly reports to the board
- Attend all Full and General Membership meetings
